Servicefour builds to show
Report, document and data-extraction automation
Your Private Dev automates the recurring document and data work that finance, operations and consulting teams do by hand: generating reports, pulling data out of portals and systems, and producing the files that come next. For Distinguished Clubs it built a pipeline that aggregates evaluation data, runs the Word mail-merge, auto-fixes layout issues and publishes finished reports to the site, which removed 250+ hours of report production a year. For benefits consultants it built Playwright extraction of plan data from the PlanYear portal, and for Zuniga Pool Construction an app that generates a branded PDF and a filled-in Excel workbook when a proposal is accepted. One senior engineer does the building, on a fixed-scope written quote.
Reports generated end to end
Distinguished Clubs produces a detailed Word evaluation report for every member club every year. Each report pulled data from several sources, used a Word mail-merge template, then needed someone to fix recurring design and layout issues by hand before publishing.
The pipeline aggregates the data across internal APIs, surveys and club records, maps every required mail-merge field automatically, runs the merge with the Word template, auto-fixes the recurring layout issues, and publishes the finished report to the site. It removed 250+ hours a year of manual merging and layout fixes.
Built for Distinguished Clubs
Structured data out of web portals
Benefits consultants needed plan data from the PlanYear portal across medical, dental, vision, life and more, which meant clicking through every plan and copying data into spreadsheets.
A Playwright-based extractor logs in, keeps session state, navigates every plan type, handles the portal's Ant Design components, pagination and conditional fields, and outputs clean normalized datasets.
Built for PlanYear
Files generated when something happens
When a Zuniga client accepts a proposal, the app attaches a branded PDF and the filled-in Excel workbook to the HubSpot deal it creates, so nobody assembles the documents by hand. It uses Gotenberg and openpyxl.

Data from systems with no API
DeMont Family Swim School's enrolment data sat in iClassPro with no API the school could use. A scheduled service signs in, pulls the families, students and drop-list reports and turns them into clean data for HubSpot.

Four builds, with the detail
- 250+ hof report production removed every year
Distinguished Clubs · 2026. Evaluation data in, published member-club report out, with no manual step between: 250+ hours a year removed.
- 4+plan types extracted automatically, from medical to life
PlanYear · 2026. Playwright extraction across all PlanYear plan types, output as normalized datasets.
- 5records and files created on accept: contact, deal, line items, PDF, Excel
Zuniga Pool Construction · 2026. A branded PDF and a filled-in Excel workbook created automatically when a proposal is accepted.
- 3linked HubSpot record types per family: parent, household, each child
DeMont Family Swim School · 2025. Scheduled extraction of iClassPro reports into clean data, with no manual exports.
When document and report automation is the right call
It fits when your team repeats the same document or data task weekly or yearly and the steps are known: gather the data, fill the template, fix the layout, publish. Each build here replaced hand copying or hand formatting that recurred on a schedule.
It does not fit when no process exists yet, or when an off-the-shelf tool already solves the problem cleanly.
Weighing a no-code connector against a custom build? Zapier or Make vs a custom integration: when each fits.
How does an engagement work?
- 01
Discovery
A 15-minute scoping call with direct questions about the goal and the constraints, so the written quote that follows matches what you need.
- 02
Written quote
Fixed scope, timeline, and deliverables on paper before any code is written.
- 03
Build phase
Daily async updates and weekly demo so you always see exactly where it stands.
- 04
Launch + support
Production deploy, documentation, and a 14-day fix window after handover.
- Fixed price, in writing first. After the 15-minute call you get a written quote with fixed scope, timeline and deliverables, within 48 hours and before any code is written.
- You own what is built. Full ownership transfers at handover, with documentation and handoff-ready code your team can keep extending.
- A 14-day fix window. Production deploy, documentation, and a 14-day fix window after handover.
Common questions
Can you automate Word mail-merge reports?
Yes. For Distinguished Clubs the pipeline aggregates the data, maps the mail-merge fields, runs the merge with the Word template, auto-fixes the recurring layout issues and publishes the finished report to the site.
How much time does report automation save?
At Distinguished Clubs, 250+ hours a year of manual merging and layout fixes were removed. The annual cycle now runs the same way every year.
Can you extract structured data from a web portal?
Yes. The PlanYear extractor logs in programmatically, maintains session state, navigates every plan type, handles Ant Design components, pagination and conditional fields, and outputs clean normalized datasets.
Can you pull data out of a system that has no API?
It depends on the system. DeMont's iClassPro had no API the school could use, so a service signs in and pulls the families, students and drop-list reports on a schedule.
Can the automation produce PDF and Excel files?
Yes. The Zuniga Pools app builds a branded PDF and fills in an Excel workbook when a proposal is accepted, using Gotenberg and openpyxl.
How does pricing work?
Pricing is fixed and agreed in writing before any code is written. After a 15-minute scoping call you get a written quote with fixed scope, timeline and deliverables within 48 hours. A fixed price means the cost is set by that written scope rather than by hours worked, so you know what you are committing to before the build starts. No price list is published, because every project is scoped on its own.
Do I own the code?
Yes, you own what is built. Full ownership transfers at handover, together with documentation and handoff-ready code that your team can keep extending. That means you are not tied to the engineer who built it: your own team or another developer can pick the code up. Handover comes after the production deploy and is followed by a 14-day fix window.
